How to Leave QuickBooks in 2026: Cheaper Alternatives and Real Annual Costs
For freelancers and small businesses tired of QuickBooks Online price increases: which alternative fits your situation, what it actually costs per year, and when staying is the smarter call.
Who this is for
- Freelancers and 1–5 person businesses on QuickBooks Online who just received a renewal or price-increase notice.
- Owners whose main jobs in the software are invoicing, expense tracking, bank reconciliation and 1099s.
- Not a fit: multi-entity companies, heavy job costing, or QuickBooks Desktop Enterprise users, whose migration paths are different.
Why people are leaving
As of November 6, 2026, QuickBooks Online lists Simple Start at $38, Essentials at $85, Plus at $140 and Advanced at $340 per month, with a 50% introductory discount. Its free plan is limited to 2 invoices a month and 1 connected bank account.
“Just got an email they're increasing the price to $140/mo… I don't need or want the artificial intelligence that they're making a big deal over now.”— r/smallbusiness, July 2026
“When I started, I think my cost was around $30 a month… Now it's $140. I can't take it anymore.”— r/quickbooksonline, August 2026
“You have to click through four ads to finish your work.”— r/xero, February 2026
The same complaints come up again and again: the price jumps once the intro period ends, user limits push owners into bigger plans, AI features nobody asked for, and promotions inside the product.

What switching really involves
- It takes time. One owner reported a five-week migration, plus an accountant who had to relearn her workflow (r/xero, March 2026).
- Your accountant matters more than the software. Several threads name an accountant who works only in QuickBooks as the biggest hidden cost.
- Not everything moves. Xero's free migration service for eligible QuickBooks Online accounts (run by its partner Q2X) skips projects, budgets, recurring schedules, bank rules, payment terms and time activities, and integrations have to be reconnected.
- Zoho's US route is export and import. Zoho recommends bringing over the current fiscal year and offers free migration help on request.
- FreshBooks lists its Easy Switch import on its Select plan.
- Bank feeds break on every platform. Wave's help center says changes on the bank's side are the usual cause.
- Alternatives raise prices too. FreshBooks users posted "raising rates yet again" threads in 2026, and Wave moved bank sync to its paid plan.
How to switch
- Ask your accountant first. Confirm they will work in the new tool, or budget for one who will.
- Pick a clean cutover date. The start of a fiscal year or quarter keeps opening balances simple.
- Reconcile, then export everything. Export reports, lists, attachments and notes on your bank rules. Intuit says you keep read-only access for one year after cancelling a paid plan, but your own copies are safer.
- Use the new vendor's migration help. Xero's free service for eligible QuickBooks Online accounts, Zoho's free migration consultation, or FreshBooks Easy Switch.
- Reconnect banks, payments and apps. Set up bank feeds, payment processing and tools like Gusto or Shopify.
- Run both systems for a month. Compare trial balances before trusting the new books.
- Cancel payroll and Payments first, then QuickBooks. Intuit advises cancelling payroll before the main subscription, because annual payroll can keep billing otherwise.
When staying on QuickBooks is the rational choice
Read the full stay-or-switch decision guide, including payroll, integrations and break-even math.
- Your accountant or bookkeeper requires QuickBooks and would charge more to learn another tool.
- You depend on QuickBooks payroll, many integrations, or detailed job costing.
- It is mid-year and your books are messy. Cleaning them up first may save more than switching.
- You need more than 25 users or Desktop-only features. The tools here are not direct swaps for those.
- Payroll is most of your bill, so the accounting plan is the smaller part of the cost.

Methodology and disclosure
No affiliate relationships. This site has no affiliate or tracking links and earns nothing from any vendor. It is an independent guide, not affiliated with or endorsed by Intuit (QuickBooks), Xero, Zoho, FreshBooks or Wave. Product names belong to their owners. If affiliate links are ever added, this section and every page that has them will say so. Recommendations follow what a small business needs, not what any vendor pays.
Year-one totals are plain arithmetic from each vendor's published intro terms. The forum threads opened for this guide had little evidence on Zoho Books downsides.
