Xero vs QuickBooks for Small Businesses (2026): Seats, Costs and When to Switch

The useful question isn't which logo wins. It's whether you need more people in the books, more advanced workflows, or simply a cheaper place to send invoices.

The short answerPick Xero Growing for a small team sharing routine books with a willing accountant: $59 a month, unlimited general users and no invoice or bill cap, versus $85 and 3 users for QuickBooks Essentials. Pick QuickBooks when your accountant, payroll process or essential integrations make moving more expensive than staying. Neither is automatically the best value for a solo business: compare Zoho Books for simple books and FreshBooks for time-based client billing.

Prices and seats: compare the plan you need

These are regular US monthly subscription prices, not the large introductory numbers vendors put first. The annual column is monthly price × 12, not a quote for an annual contract. Payroll, inventory add-ons, usage charges, payment fees and taxes are separate.

Growing saves $312 a regular year versus Essentials ($1,020 − $708), before any workflow differences. That is useful, but small enough for extra bookkeeping fees to erase it. A team needing five logins should compare Xero with QuickBooks Plus instead, while checking whether it actually needs Plus's other features.

Intro offers aren't the long-term price

Xero showed $5.40 Early, $11.80 Growing and $19.40 Established per month for the first 3 months, then the regular rates above. Its terms restrict the 80% offer to eligible first US organizations and exclude add-ons and usage fees. If those terms apply, 12 months of base subscription total $259.20, $566.40 and $931.20 respectively (3 discounted months + 9 regular months).

QuickBooks showed $19 Simple Start, $42.50 Essentials, $70 Plus and $170 Advanced per month alongside twice those amounts. We could not confirm the accounting offer's duration from the retrieved page, so there is no invented first-year total. The separately advertised payroll-bundle promotion is not proof of the accounting-only offer's duration.

Invoices, bills and bank feeds

Early can be enough. If you approve or send no more than 20 invoices and enter no more than 5 bills a month, do not pay for Growing just because you have several users. Xero's invoice limit includes approving as well as sending invoices; partner-app transactions can count too. A busy month, not your monthly average, is the useful test.

Growing is the sensible step up when those limits bind. Xero's official invoicing guide explicitly says Growing adds unlimited invoices and bills. Established is not necessary just to add users or remove those caps.

QuickBooks Free is much narrower: one connected bank and two monthly invoices, with an unlimited-invoice exception if you qualify for and enable QuickBooks Payments. Payments still has its own terms and processing fees. The Free plan also excludes third-party integrations and mobile app access, according to Intuit's pricing page.

Both products support connected bank transactions and reconciliation. That is not a promise that either supports your exact institution, account type or refresh schedule. Xero's FAQ mentions chargeable direct feeds. Check your actual banks and credit cards before migrating, and reconcile the downloaded transactions against a statement. Do not treat automatic matching as an audit.

Payroll, inventory and accountant fit

Payroll is a separate purchase, not a reason by itself to reject Xero

Xero lists Payroll powered by Gusto at $36 a month plus $6 per employee or contractor, on top of accounting. With Growing, that is $95 a month before per-person charges. QuickBooks lists a Workforce Payroll + Simple Start bundle at $88 a month plus $6.50 per employee at regular prices. It includes accounting, so adding the Simple Start subscription again would double-count it. These aren't equivalent accounting tiers or a full payroll-feature comparison.

If QuickBooks payroll already works for you, first check year-to-date balances, tax filings, benefits, time tracking and who will handle the cutover. A different sticker price isn't evidence that changing payroll is worth the disruption.

Inventory exists in both; the method matters

QuickBooks puts inventory in Plus and Advanced. Xero's inventory page says basic tracking is included in its plans, with up to 4,000 items and average-cost valuation. It is not accurate to say you must leave Xero for every product business.

Multichannel sales, reorder points or multiple locations may need paid Xero Inventory Plus or a separate app. We did not verify that add-on's price. Test returns, adjustments, purchase orders and your accountant's required valuation method before comparing total costs. A working QuickBooks inventory setup can be a good reason to stay; a simple stock list isn't automatically one.

Your accountant's fit can outweigh the subscription

Xero allows unlimited general users at no extra charge; QuickBooks separates accountant access from its listed user counts. Neither fact answers whether your accountant will work in the product. Ask for the ongoing fee and one-time transition fee for each option. If the difference is more than the annual saving, Xero isn't cheaper for your business.

Pick by situation

Several people, ordinary books

Xero Growing, if your accountant is willing

Best fit here for shared invoicing, bills and reconciliation once Early's volume caps are too tight. The regular $59 monthly subscription buys unlimited general users, not a requirement to purchase Established.

Very low invoice and bill volume

Xero Early, not Growing by default

Use the $27 plan if its limits really cover your peak month. A solo business should also compare Zoho Books Free or Standard; Xero's extra collaboration capacity may be irrelevant to you.

Projects or multiple currencies

Consider Xero Established, with a real workflow test

The $97 tier adds these features. Compare the reports and connected tools you actually need, rather than assuming Established is an exact copy of QuickBooks Plus.

Existing workflows are valuable

Keep QuickBooks when changing breaks the economics

An accountant who requires it, a critical integration without a replacement, or payroll/inventory cutover work can outweigh the subscription difference. See when staying on QuickBooks is the right call.

Solo or time-based service billing

Look beyond these two

Zoho Books is worth considering for simple, price-sensitive books. FreshBooks deserves a look when tracking hours, proposals and client retainers is the main job. Check client limits and team-seat costs there before choosing.

What moving really involves

Xero advertises a Q2X migration paid for by Xero for eligible new QuickBooks Online customers; eligibility is confirmed in a consultation. Its page says attachments, budgets and bank rules need setting up again. Historical payroll bank data can move, but W-2 information does not. A coach helps you use Xero; that isn't a substitute for your accountant's bookkeeping and tax advice.

Get the eligibility and scope confirmed before cancelling anything. Export your own records, agree a cutover date, test bank and app connections, and have your accountant compare opening balances and reports. “Free migration” does not mean zero owner time, no retraining or every integration carried across.

Methodology and disclosure

Not hands-on testingWe have not used these products ourselves for this comparison. This is an editorial buying guide built from official US pricing and feature pages and public discussions checked November 6, 2026, not a product test. Owner reports are anecdotes, not verified failure rates. We cannot promise that either product will be faster, more reliable or easier for your business.

Switching Books is independent, not affiliated with or endorsed by any vendor. There are no affiliate or tracking links, and this page earns nothing from a recommendation. We recommend the lowest plan that meets a business's needs, not the plan that might pay a commission. Confirm current prices, eligibility and workflow fit before buying.
