FreshBooks vs QuickBooks for Freelancers and Service Businesses That Bill for Time (2026)

If your income comes from hours, projects and retainers rather than products, here is what each one costs, what you give up, and when QuickBooks is still the sensible choice.

The short answer For a solo or very small service business that bills for time and has up to 50 clients, FreshBooks Plus ($43 a month) covers time tracking, proposals, retainers, bank reconciliation and accountant access for about half the regular price of QuickBooks Essentials ($85 a month), which is the cheapest QuickBooks plan that lists adding employee time to invoices. Stay with (or choose) QuickBooks if your accountant works only in QuickBooks, you sell inventory, you run payroll for a growing team, or you will have more than three people in the books, because FreshBooks charges $11 a month for each team member.

The plans that matter for time billing

Both products track time. The difference is which plan you have to be on to use it, and what else the plan includes.

Yearly cost

Both vendors advertise a first-time discount. FreshBooks showed 80% off for 4 months; QuickBooks showed 50% off, without stating how long on the page we read. QuickBooks first-year figures are not calculated because the promotion duration was not confirmed. The regular year is what you will pay after that.

PlanYear one (est.)Regular year
FreshBooks Lite$202.40$276
FreshBooks Plus$378.40$516
FreshBooks Premium$616$840
QuickBooks Simple StartNot calculated$456
QuickBooks EssentialsNot calculated$1,020
QuickBooks PlusNot calculated$1,680

The comparison that matters for time billing is FreshBooks Plus against QuickBooks Essentials: $516 vs $1,020 a year at regular prices. If you need project profitability, it is FreshBooks Premium against QuickBooks Plus: $840 vs $1,680.

Card fees are separate. FreshBooks lists 2.9% + $0.30 per card payment and 1% for bank transfers. We did not compare QuickBooks Payments rates for this page, so check them if most clients pay by card.

The team-member math

FreshBooks prices assume one person. Each additional team member is $11 a month on any plan. QuickBooks Essentials includes 3 users, and Plus includes 5.

Just you$43/mo$85/mo
You + 2 staff$65/mo$85/mo
You + 4 staff$87/moOver 3 users: Plus at $140/mo

Your accountant does not need a paid team seat on FreshBooks Plus, since accountant access is listed on that plan. At about five people who track time, the price advantage disappears, and the decision should come down to which product your team and accountant prefer.

Limits to know before you choose

Which FreshBooks plan

Most service businesses that bill for time

FreshBooks Plus

Up to 50 billable clients, time tracking, proposals, retainers, bank reconciliation and accountant access. This is the plan the main guide recommends for time-based billing.

$43 a month ($516 a year regular)

Five clients or fewer, no accountant login

FreshBooks Lite

Fine for a side business with a few steady clients that just needs invoices and time tracking. Upgrade once you need reconciliation or an accountant in the books.

$23 a month

More than 50 clients or tracking job margins

FreshBooks Premium

Unlimited clients, project profitability and accounts payable. Still about half the regular price of QuickBooks Plus for one user.

$70 a month

When QuickBooks is the rational choice

The full stay-or-switch checklist covers accountant fees, payroll and the cost of rebuilding integrations. Also compare Xero vs QuickBooks if several people share the books.

If you switch

  1. Switch at year end or quarter end so you don't split a period between two systems.
  2. Export your QuickBooks reports and lists first. Intuit says you keep read-only access for a year after you cancel, but don't rely on it alone.
  3. Move open invoices and clients, not your full history. FreshBooks lists its Easy Switch import only on its Select plan, so on Plus expect to import customers and re-create open items yourself.
  4. Use the 30-day free trial with a real client. FreshBooks advertises a trial with no card required. Track a week of time and send a real invoice before paying.
  5. Ask your accountant to log in during the trial and confirm they are comfortable with the reports.

Methodology and disclosure

Every price and plan feature on this page comes from the vendor's own public pricing page, read on November 6, 2026. We have not used these products hands-on for this comparison, so we don't make claims about speed, bugs or support quality. Vendors change prices and plan limits often; confirm on the vendor's page before you buy. This site earns nothing from either vendor and contains no affiliate or tracking links. If that ever changes, it will be disclosed at the top of each page, and the recommendations will still be based on the plan a business needs, not on what pays.
