Zoho Books vs QuickBooks for Small Businesses (2026): Free Under $50K, and When to Pay

Zoho Books is one of the few full accounting products with a genuinely free plan for small businesses. Here is who it fits, when a paid Zoho plan makes more sense, and when QuickBooks is worth its higher price.

The short answer If yearly revenue is under $50K and you mainly invoice, record expenses and reconcile one bank account, Zoho Books Free ($0) does the job, but bank feeds are not included, so you enter or import transactions yourself. If you want automatic bank feeds and sales tax, Zoho Books Standard ($15 a month billed annually, 3 users) costs $180 a year against $1,020 for QuickBooks Essentials. Choose Zoho Professional ($40 a month billed annually) only if you need inventory, timesheet billing, project profitability or multiple currencies. Stay with QuickBooks if your accountant requires it or you depend on its payroll and app integrations.

QuickBooks Free suits someone who sends very few invoices. Zoho Books Free can run the books of a small business all year, as long as you accept entering or importing bank transactions yourself.

Zoho shows two prices for each plan: billed annually, or month to month. QuickBooks shows monthly prices with an introductory discount.

Zoho's higher Elite ($120 annual / $150 monthly) and Ultimate ($240 / $275) plans are left out because they are for larger operations. Extra Zoho users are $2.50 a month on annual billing or $3 month to month.

Want bank feeds or collect sales tax

Zoho Books Standard

Automatic bank feeds, sales tax and up to 3 users. For most small service businesses this is the plan to compare with QuickBooks Essentials. Paying annually saves $60 a year.

$15 a month billed annually ($20 month to month)

Inventory, timesheets or foreign currency

Zoho Books Professional

Choose it only for a specific feature: inventory, purchase orders, billing timesheets, project profitability or multi-currency. If you don't need any of those, Standard is enough.

$40 a month billed annually ($50 month to month)

Solo and only need bank feeds? Wave Pro ($190 a year, see the main guide) is a similar price to Zoho Standard. Mostly billing clients for time? Compare FreshBooks as well.

What we couldn't verify

Public complaints about Zoho Books are harder to find than complaints about QuickBooks, Xero or Wave. That may mean fewer problems, or just fewer US users posting. We couldn't confirm how fast Zoho support is, how deep its reports go compared with QuickBooks, or how its bank feeds hold up with US banks, because we haven't tested it hands-on. Zoho advertises a free trial, so test your own bank and a month of real transactions before you commit.

If you switch

  1. Switch at year end or quarter end so one system holds each period.
  2. Export your QuickBooks reports, lists and transactions. Intuit says you keep read-only access for a year after cancelling.
  3. Use Zoho's US migration route. Zoho's help page for US organizations describes exporting from QuickBooks Online and importing into Zoho Books, and Zoho offers a free migration consultation.
  4. Start with opening balances, customers, vendors and open invoices. Bring over detailed history only if your accountant needs it.
  5. Reconnect bank feeds (Standard and up) and payment tools, then reconcile the first month in both systems.

Methodology and disclosure

Every price and plan feature on this page comes from the vendor's own public pricing page, read on November 6, 2026. We have not used these products hands-on for this comparison, so we don't make claims about speed, bugs or support quality. Vendors change prices and plan limits often; confirm on the vendor's page before you buy. This site earns nothing from either vendor and contains no affiliate or tracking links. If that ever changes, it will be disclosed at the top of each page, and the recommendations will still be based on the plan a business needs, not on what pays.
